Cancellation Policy

All of our picnic packages are considered final sale, and we are not able to issue a full refund. However, in case of emergencies, we are able to provide a partial refund should you need to cancel. A cancellation made more than 72 hours before your picnic will receive a 50% refund. If a picnic is cancelled less than 72 hours before the picnic, we are not able to provide a refund.

Weather Policy

Be assured that we monitor the weather very closely. If it looks like rain three days before your picnic, a staff member will reach out to you to either reschedule or move your picnic indoors or under cover. If you prefer to reschedule, we do not charge for rain reschedules as we understand it can be less than ideal to picnic in the rain. Rain reschedules are required to be made 72 hours before your picnic.

Should you want to move forward with having your picnic despite the rain, we ask that you have an indoor or covered location available as a backup. Southern Picnics cannot provide an indoor/covered option, and it is the responsibility of the client to have a backup location selected.

If rain pops up on the radar right before your picnic, we will work with you to reschedule your picnic or move to your indoor/covered backup option.

Damage Deposit for Children under 10 Policy

Bookings that include children under the age of 10 require a $50 refundable damage deposit. This deposit is collected at the time of booking and is fully refundable after the picnic provided that no damage has occurred to picnic equipment, décor, or rental items.

Parents or guardians are responsible for supervising children at all times during the picnic. Any damage caused to blankets, pillows, tables, décor, or rental items during the event may result in a partial or full deduction from the deposit.

Deposits are typically refunded within 48 hours after the event once the picnic setup has been inspected.

By completing a booking, guests acknowledge responsibility for the condition of the picnic setup during their reserved time.

Damage Policy

All picnic equipment is the property of Southern Picnics. All decor is to be returned in the same condition it was received. The client is responsible for the loss or damage to any equipment. If stains to the linens, blankets, or pillows result in needing excessive cleaning, the client will be responsible for this additional fee. The client will be notified of these charges via email and will have 14 days to arrange payment before further actions are taken.

Late Policy

All picnics are two hours long. We ask clients to be on time to ensure they can enjoy their picnic for the full two hours. Should a client arrive later than their start time, we are unable to extend the end time.

Terms & Picnic Policies

By booking a picnic with Southern Picnics, you acknowledge and agree to the following terms:

Assumption of Risk
Our picnics take place outdoors and are subject to natural conditions beyond our control, including weather changes, uneven ground, insects, and other environmental factors. By participating in a picnic experience, you voluntarily assume all risks associated with outdoor activities and agree that Southern Picnics is not responsible for injuries, accidents, or losses that may occur during your event.

Alcohol Policy
Public consumption of alcohol may be restricted or prohibited in certain parks and public spaces in North Carolina. If you choose to bring alcohol, you do so at your own risk and are responsible for complying with all local laws and park regulations. Southern Picnics does not provide, serve, or assume responsibility for alcohol consumption and is not liable for any alcohol-related incidents.

Children & Supervision
Children are welcome at our picnics; however, parents or guardians are responsible for supervising children at all times. Because our setups include décor, tables, glassware, and rental items, bookings that include children under the age of 10 require a $50 refundable damage deposit. The booking guest is responsible for the behavior of all guests, including minors.

Care of Picnic Equipment
Southern Picnics provides styled décor, blankets, pillows, tables, and other rental items as part of your experience. Guests agree to treat all equipment with care. The booking guest may be responsible for repair or replacement costs if items are damaged, excessively stained, lost, or removed from the picnic area.

Damage Deposit
If applicable, the refundable damage deposit will be returned within 48 hours after the event once the picnic setup has been inspected. Southern Picnics reserves the right to deduct reasonable costs for damaged or missing items.

Weather & Outdoor Conditions
Because our picnics take place outdoors, weather conditions may occasionally affect your experience. Southern Picnics will make reasonable efforts to accommodate rescheduling when possible, but we cannot guarantee protection from weather, insects, or other outdoor elements.

Release of Liability
By booking with Southern Picnics, you agree to release and hold harmless Southern Picnics, its owners, employees, contractors, and representatives from any and all liability, claims, damages, or losses arising from participation in the picnic experience.

Indemnification
You agree to indemnify and hold Southern Picnics harmless from any claims, damages, liabilities, costs, or legal expenses resulting from your actions or the actions of anyone in your party during the picnic event.

Park & Location Compliance
Guests are responsible for following all rules, regulations, and policies of the park or location where the picnic takes place, including rules related to alcohol, noise, and permitted activities.
